Work with your insurance and self-pay arrangements

A practice may receive payment through several routes: its own insurance arrangements, self-pay clients and third-party platforms. Those routes do not necessarily grant the same permissions or require the same actions.

Your membership agreement names the systems, accounts and billing work Cortexa handles. We perform billing actions allowed by the practice’s contracts and account access. Some third-party services reserve actions for an individual clinician or account holder. For those services, we coordinate the work while the authorized person completes the reserved action.

Cortexa is not an insurer credentialing network offering a promised insurance payment rate. The practice’s payer participation and applicable contracts remain relevant to every claim. Our role is to support the agreed operations and make the state of the work understandable.

Fix repeated problems where they start

Suppose a practice repeatedly has to correct the same registration detail on insurance claims. Fixing each claim deals with today’s work. Updating the intake step that collects the information helps prevent the next set of mistakes. Cortexa connects those tasks so the same problem does not keep returning to the owner.

A documentation issue follows a different route. Billing staff can identify the outstanding requirement and coordinate the handoff, but the appropriate clinician or supervisor makes the clinical decision and completes the authorized documentation work.

This is why billing sits alongside intake and front-office support in the membership. The practice can address a cause across the workflow instead of paying attention to the same exception in several separate conversations.

Help you understand the money received

Keep money received separate from amounts billed and money still owed. A strong payment month may include older sessions. A recent month’s sessions may still be awaiting payment. Looking at those separately helps explain whether the issue is timing or unfinished billing work.

We do not use a lower balance alone as evidence of improvement. Payment, an authorized adjustment and a write-off have different implications. The review should preserve those reasons so the practice can judge the work and its economics.

Start with a clear list of unfinished work

At the start, list the systems used, unfinished bills, insurance and platform arrangements, and your approved payment policies. Decide who handles each existing balance and where later payments will be recorded and checked. This keeps old work from being forgotten or handled twice.

The operating setup also establishes the approval route, reporting cutoff and escalation process. Access should match the work being performed, with clinical information handled through the appropriate approved systems.

When a company handles protected client information for a practice covered by HIPAA, it may need a business associate agreement: a contract setting out responsibilities for that information. HHS identifies billing as one activity that can create this relationship. Put the appropriate agreement and information-handling process in place before access begins.

Choose the level of help you need

If your team runs billing well and you mainly want clearer business visibility, Analytics is available separately. If the owner needs ongoing help with the administrative work across the practice, Full Service Partner combines billing with front desk, intake and scheduling, and payroll or marketing where included.

The practical benefit is a billing process the owner can oversee without personally chasing each unresolved item. Review completed work, recurring causes and the decisions needing your input, then use that information to improve the practice.

Common questions

Can Cortexa support both insurance and self-pay billing?

Yes, for the billing responsibilities agreed with your practice. We identify the insurance, self-pay and third-party processes involved, including any action that must remain with a clinician or account holder.

Will Cortexa replace our payer contracts or negotiate a guaranteed rate?

Billing support works within the practice’s applicable arrangements. Cortexa is an operating partner, not an insurer credentialing network promising insurance payment rates or payment outcomes.

Can existing unpaid balances be included?

At the start, we agree which older unpaid bills Cortexa will handle, what has already happened and who owns the next step. That gives the existing work a clear home.

Is billing included with the Analytics subscription?

Analytics is a separate reporting product. Carrying out billing belongs to the Full Service Partner membership agreement, which includes analytics.
