Decide what the annual goal needs to cover
Enter the regular monthly costs of running the practice, with clinician pay handled separately. The calculator pays those monthly costs for the entire year, even when the practice has fewer weeks of clinical work.
The final input is the amount you want left after those costs. If you want that amount in addition to paying yourself for clinical or management work, include your pay in the appropriate cost inputs. Avoid counting the same owner income in both costs and the money-to-keep goal.
Check whether the team can deliver the goal
The capacity input asks for completed sessions, so allow for missed appointments before entering it. Also leave realistic time for documentation, supervision and other responsibilities.
The result compares the required weekly completions with that capacity. If the target does not fit, it shows the money left at the entered capacity. That gives you a concrete choice to review: the annual goal, collected rate, compensation, operating costs or staffing plan. Available capacity does not guarantee demand.

How is this different from break-even?
Break-even covers the costs entered. This calculator also includes the money you want left for the year and checks the weekly target against the team’s sustainable completed-session capacity.
Should I divide annual salary by working weeks?
Enter the full annual salary. The calculator keeps that amount fixed and spreads the revenue requirement across the clinical weeks available. Fewer working weeks therefore require more completed sessions in each working week.
Why does money left at the target differ slightly from my goal?
The practice target rounds up to whole completed sessions each week. Delivering that rounded workload for all entered working weeks may produce slightly more money than the exact annual goal requires.
Does this tell me how many appointments to book?
It gives a completed-session target. Use your attendance rate to turn that into a booking target, then check those bookings against available appointment times. Do not deduct missed visits again from the capacity you entered here.
